The registration challenge

Running an event as massive as Tech Week Singapore 2024 means dealing with some staggering numbers: more than 26,000 attendees, seven events happening at the same time, and 550+ speakers delivering 300+ sessions. That’s A LOT of data to manage.

But keeping data structured and organized is what every event organizer requires, especially an event as big as Tech Week Singapore. With thousands of attendees moving between events, ensuring smooth check-ins, accurate access control, and real-time insights was non-negotiable.

 

That’s where Gevme stepped in.

On-site check-in & badge printing

  • Day 0: Setup time. Exhibitors got their booths, badges, and access sorted.
  • Day 1: Attendees checked in, badges printed instantly across multiple kiosks, and despite registering for one event, they could move between all seven.

30 kiosks handled check-ins and badge printing across the venue, each linked to Gevme’s custom dashboards. Organizers could track attendance, print on demand, and update access rules in real time, no manual work required.

Seamless entrance scanning and access control

150+ mobile devices were deployed at entrance and exit points across badge printing stations and access control areas – capturing attendee arrival and departure in real time. Each hall had its own entrance requirements, but kiosks stayed in sync with instant updates, eliminating lag and manual adjustments.

Organizers had a live snapshot of:

  • Entrance popularity: Which venue doors saw the highest traffic and at what times?
  • Attendee check-ins: When did peak arrival times occur across different entrances?
  • Access point efficiency: Which showfloor and events had the smoothest flow and which needed additional staffing?

Live dashboards & real-time decision making

With approximately 300 sessions happening across multiple halls, static reports weren’t an option. Gevme’s custom dashboards gave organizers an up-to-the-second view of crowd flow, check-ins, and session turnouts.

  • Crowd insights: Which exhibitors drew the most attention? Where did attendees spend the most time?
  • Seamless access control: Every check-in rule update synced instantly across all locations.
  • Real-time adjustments: Bottlenecks at kiosks? Fixed. Entrance congestion at specific doors? Addressed.

We gave organizers a live look at how the traffic was moving at their event, so they could make decisions on the fly and keep things running smoothly. And next time? We’ll make it even better.

Data Retention Policy Update Notice

As part of our ongoing commitment to data privacy and security, we are updating our data retention policy. In alignment with our Data Protection Trustmark certification requirements, we have modified how long we retain customer data after subscription termination.
Key Change: Customer data will now be retained for 2 years after subscription termination (reduced from 5 years). This change takes effect from January 1, 2025.
